What to include in minutes of a meeting
Minutes are a record of outcomes, not conversation. If you only had thirty seconds, write the decisions and the action items — everything else supports them.
| Section | What it records | Keep it to |
|---|---|---|
| Meeting details | Date, time, location or call link, meeting type | One line |
| Attendees & apologies | Who was present, who sent regrets, chair and minute-taker | Names only |
| Approval of previous minutes | Accepted as accurate, or corrections noted | First formal item |
| Agenda items | One short outcome summary per topic — not the debate | 1-2 lines each |
| Decisions | What was agreed, settled, past tense | One line per decision |
| Motions & votes | Motion text, proposed by, seconded by, result | Board/formal meetings |
| Action items | Task — owner — due date, for every follow-up | One line per task |
| Adjournment & next meeting | Close time, next date, open questions | Two lines |

How to write minutes in Word
The template above is plain text on purpose. To turn it into a reusable Word document: download the meeting minutes template for Word (.docx), or build it yourself in about two minutes:
1. Set the page
Word → Layout → Margins: Normal (1"). Font: Calibri 11. Paste the template text, then select all and set line spacing to 1.15 with 8pt space after paragraphs — one page is the target.
2. Style the labels
Bold the section headings (ATTENDEES, QUORUM, MOTIONS & VOTES, ACTION ITEMS) so they scan; keep body text regular. Skip colored borders and shading if the minutes will be printed or filed.
3. Use a table for action items
Select the ACTION ITEMS lines → Insert → Table → Convert Text to Table (2 or 3 columns). Owners and due dates line up, and you can sort or filter the table as tasks close.
4. Save it as the office master
Save As → Word Template (.dotx) so each meeting starts from a clean copy, or keep the .docx as a master and duplicate it per meeting. Name files by date: minutes-2026-09-15.docx.
Shortcuts that help: Ctrl+Shift+L bullets, Ctrl+B bold, and Format Painter to copy label styling. Word on the web and Google Docs follow the same steps with slightly different menus.

Board meeting minutes format (Roberts Rules)
Formal minutes keep the debate out and the mechanics in: the exact motion text, who proposed and seconded it, and the counted result. That is what makes them a legal record.
MOTION 2026-04: That the Q4 budget be approved as circulated. Proposed: R. Ellis Seconded: J. Chan VOTE: Carried — 5 for, 0 against, 1 abstention. CARRIED UNANIMOUSLY / CARRIED / LOST
Also required in formal minutes: the hour the meeting was called to order and adjourned, any dissents recorded at a member's request, and the secretary's signature. See AI meeting notes for the full checklist.
Have the template filled for you — locally
1. Capture the meeting
VocalFuse transcribes your microphone and system audio on your Windows PC with Whisper — no meeting bot joins the call, no audio is uploaded, and it works in Zoom, Teams, Meet, or any app you use.
2. Draft the minutes
Pro Note Turning converts the local transcript into structured minutes — attendees, summary, decisions, action items with owners — in the format shown above. Prompt it for "board minutes with motions, seconds, and votes" when you need the formal layout.
3. Verify & sign
You read, correct names, approve. The transcript stays as your source of truth, the minutes go in the record — drafted in minutes, not after a full retype.
Flat pricing, private by design
No per-minute metering and no subscription games: $5/mo or $79 one-time. Audio never leaves your machine — that is the whole point. Try the AI meeting minutes generator.
More free templates — board agenda & action items log
Minutes record what happened; these two files run the meeting that produces them. Both are free .docx downloads — no signup, no email gate.
Board meeting agenda template
A 12-section agenda for a 90-minute board meeting: quorum, consent agenda, prior minutes, CEO and CFO reports, the protected 30-minute strategic block, committee reports, votes, risks, executive session, and an action-items review before adjournment. Each section has a time allocation and an owner, and the decision/vote record at the bottom captures exact counts — not just "passed".
Governance guidance for 2026 favors the 60/40 split: at least 60% of board time looking forward (strategy, decisions, risk) and no more than 40% looking backward (minutes, reports, compliance). The consent agenda is what frees that hour — batch the routine into one vote.
Download board agenda .docxAction items log template
One row per action, with the four parts that stop items evaporating: an action verb, a concrete deliverable, exactly one owner (two owners = zero owners), and a calendar-date deadline — not "next week". Includes a status-review block to carry overdue items forward with a new due date, and a four-part checklist to run before the meeting ends.
Untracked action items fail at a rate studies put near half. The log is the cheapest fix — and if you want the log filled for you, VocalFuse drafts action items straight from the local transcript.

Minutes of meeting template — FAQ
What is a minutes of meeting template?
A reusable skeleton for the official written record of a meeting: header details (date, time, location, chair), attendees and apologies, approval of previous minutes, agenda items with decisions, motions and votes, action items with owners and due dates, and the adjournment time. Fill it the same way every meeting so records stay consistent and findable.
Is there a free meeting minutes template for Word or Google Docs?
Yes — the template on this page is plain text, so you can paste it straight into Word, Google Docs, or Notion and it keeps its structure. It covers attendees, decisions, action items, and next steps, and it fits one page. There is also a downloadable Word version: the .docx button above opens it directly in Word.
How do I create a meeting minutes template in Word?
Download the meeting minutes template for Word from this page (.docx, works in Word 2016 and later, Word on the web, and Google Docs), or build it yourself: paste the plain-text template, set Normal 1" margins with Calibri 11, bold the section labels (ATTENDEES, MOTIONS & VOTES, ACTION ITEMS), convert the action items into a 3-column table (task, owner, due date), then save it as a Word Template (.dotx) so every meeting starts from a clean master.
What should minutes of a meeting include?
Outcomes, not conversation: what was decided, which motions passed, and who owns which task by when. Record the meeting details and attendance, note approval of the previous minutes, one short outcome line per agenda item, motion wording with proposer and result, every action with an owner and a due date, and the adjournment time.
How do I write minutes of a meeting quickly?
Capture the meeting with VocalFuse while it happens — the app transcribes your mic or system audio locally, no bot joins the call — then let Pro Note Turning draft the summary, decisions, and action items into the template. You verify and approve instead of typing from scratch.
Can AI fill in a meeting minutes template?
Yes. VocalFuse Pro Note Taking turns a local transcript into structured minutes — attendees, summary, decisions, action items with owners — that you paste into this template. Because transcription runs on your PC with Whisper, the audio never leaves your machine and nothing joins the call.
What is the difference between minutes and a transcript?
A transcript is the full word-for-word text of the meeting; minutes are the distilled record — who attended, what was decided, who owns the next step. Good minutes fit on a page and answer "what did we decide?" first; the transcript stays as the source you can verify against.
Who signs the minutes of a meeting?
The minute-taker (usually the secretary) signs the official copy once the minutes are approved, typically at the following meeting. The chair's and secretary's signatures both appear on formal or board minutes. Only the approved, signed copy is the legal record — a draft is not.
Do board meeting minutes follow a different format?
Formal minutes add motions, seconds, and vote counts, plus the hour of adjournment and the secretary's signature. The Roberts Rules section below shows the exact structure — and VocalFuse can draft to it if you ask for "board minutes with motions, seconds, and votes" in the summary prompt.
Is there a free board meeting agenda template?
Yes — download the free board meeting agenda template (.docx) on this page. It follows the standard 12-section board order: call to order and quorum, consent agenda, approval of prior minutes, CEO and financial reports, strategic discussion, committee reports, decisions and votes, risks, executive session, action items review, and adjournment, with time allocations for a 90-minute meeting.
Is there a free action items template?
Yes — the action items log (.docx) on this page is free to download. Every row forces the four parts that make action items stick: an action verb, a concrete deliverable, exactly one owner, and a dated deadline. It also has a status-review block to carry open items into the next meeting.
